Adding Carv to Meetings

Carv can be added to meetings in a number of ways, either automatically or manually:

Automatically through calendar events:

Carv will scan through upcoming meetings in your connected calendar (Outlook or Google Calendar), when we detect a video conference link of a supported meeting platform in the calendar event-location or -description field, Carv will schedule a ‘bot’ to record the meeting. In doing so, Carv follows your calendar recording preferences; you can update your recording preferences in the account settings.

Every recording is processed and published in your workspace once the meeting is finished (it can take up to 1 hour for the meeting to be visible in your library). This meeting will be either public or private in your workspace, based on your workspace-configuration or individual overwrite.

To add Carv to a meeting manually, use the "+" button on your navigation panel:

1. Add Carv to a virtual meeting

We recognize that not all meetings are scheduled upfront in your calendar. Any ad hoc or spontaneous meeting can be recorded by pasting the invite link into Carv. It will summon the Carv bot to join your meeting in a matter of seconds. The visibility of these meetings follow the workspace configuration.

* One remark for zoom users. If you have authentication turned on for your Zoom meeting, the bot will not be able to join - for example, only authenticated users from [[email protected]]. This is because the Carv bot cannot be logged in with an email from your domain.

2. Record an in-person meeting

The In-Person Recording feature allows users to capture their face-to-face meetings (generic meetings, intakes, and interviews) with Carv. This way, you can take advantage of our automated post-meeting document generation for in-person meetings, along side all other meeting recording options.

After you have chosen this recording option, you are asked to select a meeting type, see also: https://help.carv.com/en/articles/9250049-meeting-types. Once selected, a counter will indicate when the recording will start. You can pause the recording when you take a break, and stop the recording when you are done.

After you've clicked 'stop', make sure to wait until we've uploaded the meeting to Carv, a loader will indicate when this process - should take maximum 30 seconds. We'll then proceed to process your meeting according to your workspace's configurations and you'll find it back there a couple of minutes later.

3. Call with Carv

Outbound Phone Call Recording allows you to capture your phone calls (generic meetings, intakes, and interviews) with Carv. This way, you can take advantage of our automated post-meeting document generation for their phone conversations, along side all other meeting recording options.

To record a phone call, you will have to verify their work phone number with us through a simple journey on the Carv platform. This is a one-time effort. After you verify your number, you can call Carv (on our US or Dutch number) in order to record your subsequent phone call.

So, you call us first, and then dial the number of the intended recipient, in order for the call to be recorded. The recipient will then receive a phone call from your own phone number (not Carv’s).

When a recruiter calls with Carv, they’ll be asked to specify what type of call they are about to have through the dialpad (“Press 1 for interview”). The recruiter will then dial the candidate’s number and the meeting will be processed according to its type. The phone call recording will be available on the user’s Carv library once processed.

Note that calling with Carv is available to Carv Pro & Enterprise users only.

4. Import an audio or video file

This feature allows you to upload a pre-recorded audio or video file to Carv. This way, you can take advantage of our automated post-meeting document generation for pre-recorded meeting, along side all other meeting recording options.

Moving existing meetings in bulk to Carv:

Moving your existing meeting (archive) to Carv is possible for our enterprise customers in collaboration with the Carv customer support team.
